1. Who we are
This website is operated by 12423251 Canada Inc., doing business as Green Pacific Cleaning and Facility Care ("Green Pacific", "we"). Our mailing address is Unit 45, 3240 East 58th Avenue, Vancouver, BC V5S 3T2.
We are responsible for the personal information we collect through this website. British Columbia's Personal Information Protection Act (PIPA) sets the rules for how we collect, use and disclose it.
2. Our privacy officer
Our privacy officer is Wan-ni Tsai. Contact her at admin@greenpacificcleaning.ca, or by mail at the address above, with any question, request or complaint about your personal information.
3. What we collect and why
| When | What we collect | Why |
|---|---|---|
| You send a cleaning enquiry | Name, email, the service you are interested in, building or project location, and your message. Company and phone are optional. | To reply to you, discuss your requirements, and arrange a site walk or prepare a scope if you ask for one |
| You send a site-support message or request a report | Business name, your name, email address, message and the report requested | To coordinate a response, follow up and confirm authorisation before sharing site records |
| You apply for a job | Name, email, phone, city, your experience, your availability, and your answers about work authorization, driver's licence, driving a company vehicle, getting to job sites, and willingness to complete a background check. A résumé (PDF or Word, up to 5 MB), recent job title and recent employer are optional. | To assess your application and contact you about recruitment. If you choose, to consider you for future vacancies. |
| You email or call us | Whatever you choose to tell us | To respond to you |
| You use our contact, application or site-support forms | A session cookie and a matching server-side session | To run the security checks on our forms |
| You submit a form | A security record of the time of your submission, stored under a coded form of your IP address. It does not contain what you typed or any résumé | To limit spam and abuse of our forms |
Applications and screening answers are forwarded to our staff for review. Our website does not automatically reject applicants based on their answers.
We ask you not to send identification numbers, banking details or documents unrelated to your application. Answering the background check question does not authorize a check. Any check would be discussed with you separately.
Our hosting provider also keeps standard server logs, which include IP addresses.
4. Consent
We collect your information when you choose to give it to us for the purposes above. The job application form asks you to confirm your agreement before you submit. A separate, optional box lets you ask us to keep your application for future vacancies. Leaving it unticked does not affect your current application.
You can withdraw consent at any time by contacting our privacy officer. If you do, we may not be able to respond to your enquiry or continue considering your application. We may still need to keep some information where the law requires it.
5. How we use and share your information
Access to enquiries and job applications is restricted to authorized personnel: the owner and our privacy officer. We use your information only for the purposes in section 3. We do not use enquiries or applications for marketing, and we do not sell personal information.
We share it outside Green Pacific only with the service providers described in section 6, or where the law requires or permits it, such as a court order.
6. Service providers and where your information is stored
Our website forms deliver your submission to our mailboxes by email. The website software is not designed to keep its own copy of enquiries, applications or résumés in a database or upload folder.
Our website and email are hosted by Bluehost, whose servers are primarily located in the United States. Information you send us may therefore be stored and processed outside Canada and be subject to the laws of the United States. Bluehost may retain copies for its own operational purposes, such as mail queues, logs and system recovery.
7. Cookies and tracking
Our contact and job application pages use a session cookie named PHPSESSID. It supports the security checks on our forms. It has no fixed expiry in the browser; browsers normally remove it when the session ends, although session restoration may preserve it. It is not used to track you or to build a profile.
This website does not use analytics, advertising, chat, captcha, newsletter, map or video services, and its fonts are served from our own site.
Our Quality page shows a seal image loaded from the Better Business Bureau (seal-mbc.bbb.org). When you view that page, the BBB receives connection information, including your IP address. Links to other websites are governed by those sites' own policies.
8. How long we keep your information
Job applications. We keep your application and the records of a hiring decision about you for up to 2 years after that decision.
If you agree to be considered for future vacancies, we use your application for that purpose for up to 2 years from your consent or explicit renewal. Withdrawal ends that use. A remaining hiring-decision retention period or applicable hold may still require storage. Each decision’s evidence keeps its own expiry; renewal does not extend it.
Enquiries. We keep enquiries that do not lead to a service agreement for up to 3 years after our last contact with you.
Privacy requests and complaints. We keep these for up to 3 years after they are closed.
How we delete. Our approved procedure provides for quarterly reviews and deletion before these limits, without deleting before a required legal minimum.
When we keep information longer. Only in two situations. First, while it relates to an unresolved request, complaint, dispute, claim or legal requirement, and for up to 30 days after that matter ends. Second, if you ask for access to your information, we keep the records covered by your request for 12 months after we respond, or longer if a review of our response is still open, so that you can ask questions or seek a review.
9. How we protect your information
Access to enquiries and applications is restricted to authorized personnel: the owner and our privacy officer. Our website uses an encrypted (HTTPS) connection, and our forms use security tokens and submission limits to reduce spam and abuse.
10. Seeing and correcting your information
You can ask to see the personal information we hold about you, how we have used it, and who we have shared it with. You can also ask us to correct it. Write to our privacy officer. We may need to confirm your identity first. We will respond within 30 business days, or tell you if the law allows us more time. If we cannot give you access or make a correction, we will explain why in writing. We do not charge a fee for these requests.
11. Questions and complaints
Contact our privacy officer first. We will look into your concern and reply in writing.
If you are not satisfied, you can contact the Office of the Information and Privacy Commissioner for British Columbia: PO Box 9038, Stn. Prov. Govt., Victoria, BC V8W 9A4, 250-387-5629, info@oipc.bc.ca, oipc.bc.ca.
12. Changes to this policy
We will update this page when our practices change. The date of the latest version appears at the top.
